Information we collect
The personal information we collect depends on how you interact with Good Flock. It may include:
Contact and identification information, such as your name, email address, phone number, suburb or location, organisation and role.
Information you choose to share with us, such as responses to surveys, forms or questionnaires; nominations and submissions; stories and experiences; feedback; and other information you provide when participating in Good Flock activities.
Photos, videos and other contributed material, where you choose to provide or upload these to Good Flock.
Information about other people, where someone tells us about or nominates another person, community, organisation or creator, or provides information about people involved in a story, activity or initiative. This may include names, contact details and information about their work or community involvement.
Information about your participation in Good Flock, such as events you attend, programs or activities you participate in, communications you receive or respond to, and interactions you have with us.
Age, eligibility or consent information, where this is needed for a particular activity, including information required to confirm participation or parent or guardian consent for children and young people.
Award, donation or payment information, where relevant, such as information needed to administer an award, make a prize payment, process a donation or maintain appropriate financial records.
Website and usage information, such as your IP address, browser and device information, pages visited, referring website and other information collected through cookies and similar technologies.
We try not to collect more personal information than we reasonably need.
How we collect information
We may collect personal information:
- directly from you, including through our website, forms, surveys, email, events, conversations and other interactions with Good Flock;
- from another person, for example where someone nominates you, tells us about your work or provides your details through a Good Flock initiative;
- from organisations or partners we work with, where it is relevant to a Good Flock activity;
- from publicly available sources, such as websites, media articles and public social media profiles; and
- automatically when you use our website, including through cookies and similar technologies.
Where we collect personal information about you from somebody else, we will take reasonable steps, where appropriate in the circumstances, to make sure you understand how we obtained your information, why we have it and how we intend to use it.
For example, if you are nominated through a Good Flock initiative and we decide to contact you or explore the nomination further, we may explain that your information was provided through that initiative and direct you to this Privacy Policy.
Why we collect and use personal information
We may collect and use personal information to:
Deliver Good Flock’s charitable activities, including discovering and understanding people, initiatives and ideas relevant to our purpose; administering programs, campaigns, awards and events; assessing and judging submissions and nominations; conducting research and evaluation; and identifying opportunities for storytelling, connection, collaboration and support.
Communicate with you, including responding to enquiries and communicating about submissions, nominations, activities, events, awards or programs in which you are involved.
Tell stories and amplify ideas, including developing stories, articles, media, events and other content that help make different possibilities for ageing, connection and care visible. Where appropriate, we will seek additional consent before publicly sharing personal stories, private images or other personal information.
Understand and improve our work, including evaluating our reach and impact, understanding our audiences and communities, improving our activities and communications, and informing future strategy and program design.
Keep you updated, where you have chosen to hear from us, including sending Good Flock stories, news, events and opportunities. Participating in another Good Flock activity does not automatically subscribe you to our general mailing list.
Operate and protect Good Flock, including administering our website and systems, maintaining records, preventing misuse, administering awards and payments, and meeting our legal and regulatory obligations.
We will not use or disclose personal information for an unrelated purpose unless you have consented to that use or disclosure, or it is otherwise permitted or required by law.
Stories, nominations and information about other people.
A core part of Good Flock’s work is discovering and amplifying people, ideas and real-world examples that can help us imagine a richer culture of ageing.
This means we may sometimes receive information about a person from somebody else, for example when someone nominates an individual for an initiative such as Flock It, recommends someone we should speak to, or tells us about people involved in a community or project.
Being nominated, mentioned or recommended to Good Flock does not automatically give Good Flock permission to publicly tell someone’s story.
Where appropriate, we will contact the people involved and seek their agreement before publishing personal stories, private photographs, videos or other personal information about them.
Sometimes people may provide us with personal information about somebody else that we did not ask for or do not reasonably need. Where appropriate, we may delete or de-identify that information rather than retain it.
We may retain non-sensitive information about publicly visible initiatives, organisations, creative work and ideas as part of Good Flock’s ongoing work to understand and map the people and examples contributing to a richer culture of ageing.
Children and young people
People of all ages may participate in some Good Flock activities.
Where we collect personal information from or about children and young people, we take additional care to ensure that the collection and use of that information is appropriate to their age and the circumstances.
We will aim to explain how personal information will be collected and used in a way that is clear and appropriate for the young person involved.
Depending on the young person’s age, capacity and the nature of the activity, we may involve or seek consent from a parent or legal guardian.
Individual Good Flock activities may have additional age, participation and consent requirements. These will be explained when relevant.
We will take particular care before publicly sharing stories, photographs, videos or other personal information involving children and young people.
Sensitive information
Some of the stories and experiences people share with Good Flock may include sensitive personal information. This may include, for example, information about a person’s health or disability, or information revealed through experiences of care, ageing or end of life.
We do not generally seek to collect sensitive information unless it is reasonably necessary for our work. Where we specifically ask you to provide sensitive information about yourself, we will explain why we are collecting it and seek your consent where required.
If you are submitting, nominating or telling us about somebody else, please do not provide sensitive or private information about them that they would not reasonably expect you to share with Good Flock.
If we receive sensitive personal information about another person that we did not ask for or do not reasonably need, we may delete or de-identify that information.
Where Good Flock wants to publicly share a story containing sensitive personal information, we will seek appropriate permission from the person concerned before doing so.
Sharing your information
We do not sell personal information.
We may share personal information where reasonably necessary with:
- service providers that help us operate our website, communications, forms, databases, file storage, events or other organisational systems;
- contractors and professional advisers working with Good Flock;
- judges, assessors or reviewers involved in assessing submissions, nominations, awards or other Good Flock initiatives;
- project, research or delivery partners where sharing information is reasonably necessary for an activity and appropriate safeguards are in place;
- regulators, government authorities or other parties where required or authorised by law; or
- other parties where you have asked us or given us permission to do so.
We aim to share only the personal information reasonably necessary for the relevant purpose.
Where another organisation or person handles personal information on Good Flock’s behalf, we take reasonable steps to ensure that the information is handled appropriately and securely.
Overseas service providers
Good Flock uses third-party technology and service providers to support our work. Some of these providers may store, process or access personal information outside Australia.
Depending on the service and how it is configured, personal information may be handled in countries including the United States and countries in the European Union.
Where personal information is disclosed to an overseas recipient, we take reasonable steps to ensure that it is handled appropriately and in accordance with applicable Australian privacy requirements.
The locations used by our service providers may change from time to time as their infrastructure and services change.

How long we keep information
We keep personal information only for as long as it is reasonably needed for the purposes for which it was collected, Good Flock’s ongoing activities, or to meet legal, financial and record-keeping requirements.
Some information about people, initiatives, organisations, creative work, ideas and publicly available examples may be retained as part of Good Flock’s ongoing work to discover, understand, connect with and amplify examples of a richer culture of ageing.
This does not mean we need to retain all of the personal information originally collected about those people or examples. Where personal information is no longer reasonably required, we will take reasonable steps to delete or de-identify it, subject to any legal or record-keeping requirements.
We may periodically review the information we hold to determine whether it still needs to be retained.
Email and other communications
We may use the contact details you provide through Good Flock’s website, activities, events, forms and other interactions to communicate with you about Good Flock, including stories, news, events, opportunities and ways to get involved. Where relevant, we will provide information at the point of collection about the communications you can expect to receive.
You can opt out of general Good Flock communications at any time by using the unsubscribe option provided or contacting us. We may still contact you where reasonably necessary in relation to a specific submission, enquiry, event, award or other activity in which you are involved.

Good Flock uses cookies and similar technologies to operate our website and understand how people use and interact with it.
These technologies may collect information such as your IP address, device and browser information, pages visited, interactions with the website, referring website and how you arrived at Good Flock.
